if your documents are in English you don't need to notarize their copies.

I am really scared if sending documents in Nov will work as there are Christmas holidays as well.
Not sure if we need to get a document number before Jan 1 2015

Need clarifications.

Please send thru Fedex or UPS couriers, they normally deliver within a week and you can have tracking details / proof of delivery too.
