Hi all,
My Canadian tourist visa app was approved per IRCC portal on March 21, 2025, stating:
"Your application was approved. You need to send us your valid passport to finalize your application."


I sent my passport to VFS New York, and it was signed as received ~18 days ago, but VFS says it’s not in their system yet. I emailed ccs.scc@international.gc.ca, but they said they can't assist.


I now need my passport back due to urgent travel and am willing to reapply later.


Questions:


  1. How can I contact IRCC directly to request my passport back?
  2. Is there a specific web form or contact that’s worked for others?
  3. Has anyone dealt with this & gotten a quick resolution?

Any help would be really appreciated. Thanks!

1. Contact IRCC via Web Form (Best Option)


You should submit a case-specific enquiry using the official IRCC web form:


IRCC Webform (Outside Canada)


  • Under “Type of application” select: Temporary residence (visiting, studying, working)
  • Include:
    • Your full name and date of birth
    • Application number (if available)
    • UCI (Unique Client Identifier)
    • Date of approval
    • Tracking number / shipping info for the passport
    • Reason for urgent return (mention clearly: urgent personal travel)
    • State that you’re willing to withdraw the application if necessary

Tip: Clearly title your message like:
"URGENT: Request Passport Return – Approved TRV, Passport Sent to VFS New York"
