we are doing our application right now but we thought we would copy the digital pictures on a word document then type underneath, where and when the picture was taken as well as anyone else in the photo. is this an acceptable way to send in the photos?

For the 20 photos for proof of relationship that's exactly what we did. Two pictures per page, and underneath each picture we labelled date, location, who was in the picture and their relationship to sponsor and/or applicant.
